TC Northwest™ ("we," "us," or "our") operates the TC Northwest™ platform, a web-based transaction coordination tool designed for real estate professionals in the Pacific Northwest. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you access or use our website and services (collectively, the "Service"). By using the Service, you agree to the practices described in this Privacy Policy.
1. Information We Collect
1.1 Account Information
When you create an account, we collect your first name, last name, email address, phone number, NWMLS LAG number, and real estate license number. Anyone may create an account on the Service. To join a collaborative workspace ("Space"), you must be invited by the Space owner or an administrator of that Space.
1.2 Profile Information
You may optionally provide a profile picture, public phone number, and public email address. Office Agent Profiles within a Space may also contain your professional details such as firm affiliation and contact information.
1.3 Transaction Data
In the course of using the Service, you and other users in your Space may enter real estate transaction data including but not limited to: property addresses, MLS numbers, purchase prices, earnest money amounts, financing details, closing dates, contract timelines, contingency deadlines, and related notes. This data also includes contact information for transaction participants such as buyers, sellers, brokers, escrow officers, and lenders.
1.4 Payment Information
Subscription payments are processed through Stripe, Inc. We do not store your full credit card number, CVV, or card expiration date on our servers. Stripe collects and processes your payment information in accordance with their own Privacy Policy. We retain only your Stripe customer identifier and subscription identifier for billing management purposes.
1.5 Uploaded Files
Documents and images you upload to the Service (such as profile pictures or transaction-related files) are stored using Amazon Web Services (AWS) S3 cloud storage. File metadata (file name, type, size, and storage reference) is stored in our database.
1.6 Automatically Collected Information
When you use the Service, we may automatically collect certain technical information, including your IP address, browser type, device type, operating system, referring URLs, and pages visited. We use analytics tools to understand how the Service is used and to improve its performance.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To provide, operate, and maintain the Service, including managing your account, processing transactions, and facilitating collaboration within Spaces.
- To process subscription payments and manage billing through our payment processor, Stripe.
- To communicate with you about your account, respond to inquiries, and provide customer support.
- To send operational notifications related to your transactions, tasks, and deadlines.
- To improve the Service, including analyzing usage patterns and fixing bugs.
- To enforce our Terms of Service and protect the security and integrity of the Service.
- To comply with legal obligations and respond to lawful requests from authorities.
3. How We Share Your Information
We do not sell your personal information. We may share your information in the following limited circumstances:
3.1 Within Your Space
Information you enter into the Service, including transaction data and contact details, is visible to other members of the same Space according to the access controls and roles configured by the Space owner. This is fundamental to the collaborative nature of the Service.
3.2 Service Providers
We use third-party service providers to operate the Service. These providers have access to your information only to the extent necessary to perform their functions and are obligated to protect it. Our key service providers include:

3.3 Legal Requirements

In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Service before your information becomes subject to a different privacy policy.
4. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. Transaction data associated with a Space is retained for the duration of the Space's active subscription. If you request account deletion, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, accounting, or compliance purposes. Archived transaction files may be retained for up to 7 years in accordance with real estate record-keeping best practices.
5. Data Security
We implement reasonable technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (TLS/SSL), secure authentication via OAuth, and access controls within the application. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Depending on your jurisdiction, you may have the following rights regarding your personal information:
- Access: You may request a copy of the personal information we hold about you.
- Correction: You may update or correct inaccurate information through your account settings or by contacting us.
